How it works
The absence percentage (absenteeism rate) is the proportion of scheduled workdays lost to unplanned absences, expressed as a percentage. It is widely used in HR to benchmark workforce availability and identify absenteeism trends.
Scheduled workdays typically exclude weekends, public holidays, and approved leave (e.g., vacation, maternity leave); only unplanned or unapproved absences are counted in the numerator. Industry benchmarks for healthy absence rates generally fall between 1.5% and 3.5%.
Worked example
8 absent days out of 250 scheduled workdays
- Scheduled workdays in the period: 250.
- Unplanned absent days: 8.
- Absence % = (8 / 250) × 100 = 3.20%.
- Attendance rate = 100% − 3.20% = 96.80%.
Absence percentage = 3.20%; the employee was present 242 out of 250 scheduled days.
